PRELIMINARY SETUP

Op 36 Mobile App Tutorial

Below is a video on how the Operation 36 Mobile App works.  This a video that you will send to your families (outlined in the Email Communication Templates).  It is important for coaches to understand how the app works and the do’s and don’ts.  Take a moment to watch this video and get up to speed on the app!

Joining Your Community

Your Support Coach should have sent you a password for your mobile app community.  This password should be kept internal and never given to other coaches or families.  This video will show you how to join your community, which is the same process you will do for adding your students to the app as well.

Using Google Drive

We utilize Google Drive to provide you with our most up to date Academy Templates that you can customize for your academy.  If you are not familiar with the tools, we placed a video below on how Google Drive works.  At a base level it is similar to using Microsoft Word and Excel, but on a web browser.  It is all stored under your Google Account and can be accessed by clicking the 9 squares in the top right hand corner of Gmail or the Google Search page.

STEP 1

PLAN PROGRAMMING SCHEDULE & PACKAGES

Your first step is to plan your programming schedule and tuition packages.  We recommend using the Operation 36 Programming Calculator to do this.  Click here to access the templates section.  You will want to do some research on when schools get out, so you know when to start classes, and also plan out how long to run your semesters.  After you set those you can use the calculator to plan your tuition and make projections for the semester.

STEP 2

PLAN ACADEMY STAFF & SET CLASS CAPACITY

Before you can set your limits on class enrollments, you need to know how many coaches you are going to have on a consistent basis.  We recommend no more than a 6:1 Student to Coach Ratio.  A good tip here is to start with one coach where you can fill classes, then as you begin reaching capacity, you can look into adding a coach to double the amount of juniors you can see in the same time frame.

STEP 3

CHOOSE REGISTRATION / BILLING / COMMUNICATION PLAN

Registration, Billing, and Communication are the 3 toughest administrative tasks when running a long-term academy.  We cover these topics and give you tips and tricks we use behind structuring these on page 32 of the training manual.  If you are using the manual registration method, we provide a Registration and Waiver template for you to customize in the Academy Templates section.  We have a partnership with iClassPro which is who we use to manage our academies.  They offer our members $25 per month discount and will set up the system exactly how we use it for our academies.  If you want to use iClassPro or learn more please contact us and we will put you in touch with our account representative to get you more information.

STEP 4

CREATE SEMESTER SCHEDULE OF EVENTS

Your Semester Schedule of Events is not only a tool to help you plan out exactly what you will be covering each week, but is also essential for parents to see the organization and plan for your academy classes. We have completed 16, 12, and 8 week templates you can customize to fit your academy in the Academy Templates section.

STEP 5

BEGIN MARKETING YOUR ACADEMY

The iGrow Marketing team will make a front and back custom brochure for your academy after you have your schedule and tuition planned!  Follow up with your Support Coach to learn more.  If you want to have more signage and exposure with your facilities branding, you can also purchase our “Marketing Design Pack” in the members only store.

STEP 6

PLAN & EXECUTE YOUR PARENT ORIENTATION

Executing a successful Parent Orientation is the best marketing tool you can use to grow your academy.  Hosting orientations on a consistent basis allows you to educate families about the 10 year plan you have for junior golfers in the area.  If you are good at educating it will not only get families to commit for the long-term, but will also get you some great word of mouth as they educate other families!

STEP 7

ORDER BAG TAGS, BADGE SHEETS, & EQUIPMENT

The Operation 36 Academy Store should have all of the Operation 36 gear you need to kick off your academy.  The Operation 36 Bag Tags, Badge Sheets, and Skill Point Chip Kits can be purchased by clicking here.  You can also view other equipment on page 67 of the training manual you may want to use and purchase for the season.  Amazon is your best friend here :-)

STEP 8

CREATE YOUR DAILY CURRICULUMS

After you have your Schedule of Events complete you are going to want to plan out your daily curriculums for each class.  We have a Daily Curriculum Template that you can utilize and print out for your staff so everyone is on the same page for the day.  Just jot in details from your schedule of events, and choose a training environment that fits the subject and stroke you are covering.  Doesn’t it feel good to be planned for the semester!

STEP 9

BEGIN FAMILY EMAIL COMMUNICATION PLAN

Communication and Organization is one of the top factors that will set your program apart from other sports activities in your area.  You are going to want to want to have your emails setup to send to families to prepare them for the first week, as well as keep them up to date on weekly events throughout the semester.  We provide you with Communication Templates in the Academy Templates section that you can copy, paste, and customize for your academy.

STEP 10

ORIENTATION - PRINT RULES & RUN YOUR FIRST CLASS!

Alright, it is now time for you first week of classes!  Please review Section 8 on Page 70 of the Training Manual on structuring your Academy Orientation.  Be sure to customize your Rules Template to print and give to juniors the first day.  We include a base template for you to customize in the Academy Templates section.  Final step is to put labels on your juniors bag tag and you are ready to rock!  Good luck and have fun with it!
